About the position

The Accounting and Auditing Associate position at Indiana State University is responsible for fixed asset reporting and tracking in accordance with University policy. This includes tagging newly acquired property, recording and disposing of property within the financial accounting system, maintaining the construction work in progress database, and conducting physical inventories of assets. The role also involves other financial reconciliations and ad hoc reporting as assigned. The position operates on a full-time schedule from 8am to 4:30pm.

Responsibilities

  • Verifies and posts details of business transactions, such as funds received and disbursed, and totals accounts to ledgers or computer spreadsheets and databases.
  • Audits invoices against purchase orders, researches discrepancies, and approves for payment.
  • Investigates problems that vendors or purchasing agents have with obtaining payment for bills.
  • Computes and records charges, refunds, cost of lost or damaged goods, freight charges, rentals, and similar items.
  • Prepares vouchers, invoices, checks, account statements, reports, and other records, and reviews for accuracy.
  • Reconciles general ledger accounts.
  • Extracts general ledger information; reconciles report discrepancies and problems.
  • Compiles cost reports and revenue and balance sheets; reconciles bank statements.
  • Monitors loans and accounts payable/receivable to ensure that payments are up to date.
  • Codes data for input to financial data processing system according to University procedures.
  • Assists employees, vendors, clients, or customers by answering questions related to accounts, procedures, and services.
  • Performs other duties as assigned.

Requirements

  • Associate's Degree in Business, Accounting, Finance, or Management with 1-2 years of relevant experience, or
  • Bachelor's degree in the same fields at the time of hire with at least 6 months of experience.
  • Must possess a valid driver's license.

Nice-to-haves

  • Experience in a business or college/university office as a student assistant or graduate assistant.
  • Proficiency in Microsoft Excel and Access.
