About the position

My client, the CEO of an internationally recognized architecture and interior design firm in Washington DC, is seeking an Accounting and Office Manager for a full-time and permanent position. This role requires the individual to be on-site five days a week, managing all accounting and financial processes within the firm. The Accounting and Office Manager will perform full cycle accounting duties, which include accounts payable, accounts receivable, payroll, and general ledger management. The position also involves preparing, analyzing, and presenting monthly financial statements, budgets, and forecasts, as well as conducting bank reconciliations, managing cash flow, and ensuring accurate financial record-keeping. In addition to accounting responsibilities, the role encompasses handling invoicing, bill payments, and expense reporting. The Accounting and Office Manager will collaborate with external accountants for tax preparation and annual audits, and will be responsible for communicating with vendors, project managers, designers, and clients regarding any issues related to billing and invoicing. Other responsibilities include managing the administrative and operational tasks of the office, such as retirement plan administration, managing leases, insurance, supplies, equipment, and facility emails and files. The individual will provide support to the team and coordinate various other tasks as required, including managing project management databases and maintaining employee records, which encompass attendance, benefits, and performance evaluations. The role also requires addressing employee inquiries and resolving HR-related issues, ensuring compliance with labor laws and company policies, and overseeing day-to-day office operations, including supply management, equipment maintenance, and vendor relationships. The Accounting and Office Manager will develop and implement office policies and procedures to improve efficiency, coordinate meetings, events, and travel arrangements for staff, and provide administrative support to the leadership team as needed.

Responsibilities

  • Managing all accounting and financial processes

Requirements

  • Bachelor's degree in accounting, finance, or business administration
  • 6+ years of experience in bookkeeping, accounting, or financial management
  • Proficiency with Microsoft Excel and accounting software
  • Experience with international banking is a plus
  • Knowledge of tax preparation and compliance
  • Excellent communication and people skills, with the ability to work effectively with principal and staff
  • Strong analytical and problem-solving skills
  • Ability to work independently and manage multiple tasks and deadlines.
