About the position

We are looking for a sharp and collaborative Accounting & Operations Specialist for our Tallahassee, FL office. The Accounting & Operations Specialist will be responsible for supporting the financial operations of Southern Scholarship Foundation (SSF) by maintaining accurate financial records, preparing reports, coordinating external contracted services, and assisting with budgeting and auditing processes. This position typically involves a range of accounting tasks aimed at ensuring the financial health and compliance of the organization. The ideal candidate is someone who is detail-oriented, takes initiative, understands how to prioritize time-sensitive tasks, can be flexible, enjoys collaborating with others, is not afraid to research unfamiliar tasks, and is passionate about diversity, equity, and inclusion. Essential tasks include making timely bank deposits, preparing and entering payroll in the system, preparing various governmental forms and applications required for compliance, maintaining appropriate signature cards on bank and investment accounts, and ensuring proper recording of assets, liabilities, revenues, and expenses related to SSF's gifts and endowments in compliance with GAAP. The specialist will also reconcile all accounts necessary, prepare monthly financial statements, liaise with contracted accounting firms for tax returns and audits, coordinate the annual budget process, and process student payments from various channels. In addition to accounting functions, the role includes administrative responsibilities such as maintaining up-to-date personnel files, ordering office supplies, liaising with Professional Employer Organizations regarding payroll reporting, preparing and distributing annual 1099s, and collaborating with directors regarding student matters, grants, and purchases. The Accounting & Operations Specialist will also assist other staff as needed, sharing in general office duties.

Responsibilities

  • Make timely bank deposits
  • Prepare and enter payroll in system
  • Prepare various governmental forms and applications required for compliance
  • Maintain appropriate signature cards on bank and investment accounts
  • Maintain monthly general ledger as well as permanent corporate books that relate to financial matters
  • Ensure proper recording of assets, liabilities, revenues and expenses related to SSF's gifts and endowments in compliance with GAAP
  • Reconcile all accounts necessary and prepare the supporting schedules
  • Assist in preparing monthly financial statements, supporting workpapers, and schedules
  • Liaise with contracted accounting firm for the preparation of tax returns and audits
  • Coordinate the annual budget process
  • Process student payments from several payment channels, transferring to individual scholarship house bank accounts
  • Assist student house treasurers as needed
  • Keep President informed as to the condition of the operating account balance
  • Prepare authorized account transfers
  • Provide staff support to the Board Finance Committee
  • Coordinate with contracted Controller/CFO for management reporting
  • Maintain up to date personnel files
  • Order office supplies, equipment, and furniture
  • Liaise with Professional Employer Organization regarding payroll reporting, W-2's, leave, and employee benefits
  • Prepare and distribute annual 1099's
  • Coordinate administration of insurance policies
  • Collaborate with Directors regarding student matters, grants, and purchases
  • Consult with staff and coordinate external IT services
  • Maintain fundraising and program CRM databases
  • Assist other staff as needed, sharing in general office duties

Requirements

  • Bachelor's degree in accounting or related field
  • Two (2) + years of related professional experience; or an equivalent combination of education and experience
  • Ability to perform advanced MS Excel functions, such as PivotTables
  • Ability to pass a Level 2 background check
  • Ability to work onsite in our Tallahassee, FL office
