About the position

The Accounting and Payroll Project Support Specialist plays a crucial role in supporting the financial operations of the organization. This position involves compiling and sorting documents, processing invoices, and ensuring accurate financial records. The specialist will assist in the monthly close process and develop standard operating procedures for accounting and payroll support, contributing to the overall efficiency and accuracy of financial operations.

Responsibilities

  • Compile and sort documents, route invoices for review and approval.
  • Electronically file accounting support documentation in a timely manner.
  • Prepare vouchers, invoices, checks, account statements, reports, and other records.
  • Review all documentation for accuracy.
  • Ensure accurate and timely entry and processing of invoices and manual checks.
  • Reconcile monthly general ledger accounts.
  • Ensure proper approvals for all payments prior to execution.
  • Provide entry support for the forecasting process payments.
  • Record participant-related voucher payments in required databases in a timely manner.
  • Ensure accurate and timely coding and processing of all vouchers, invoices, and expense reports.
  • Assist Project Accountant with local checking account tasks.
  • Review requests for accuracy, enter participants and expenses in QuickBooks, print checks, and mail as directed.
  • Gather, organize, and review all monthly invoice backup documentation for accuracy.
  • Support the monthly close process by ensuring all asset-related journal entries are posted and accounts reconciled.
  • Develop accounting support related Standard Operating Procedures as requested.
  • Review Time Detail Report, enter punch corrections, and communicate needed corrections for payroll processing.
  • Obtain final payroll approval from Project Directors and submit to corporate for processing.
  • File all payroll-related documentation in an organized manner for audits and reviews.

Requirements

  • High School Diploma or General Education Diploma.
  • College level Accounting courses or equivalent accounting and bookkeeping experience.
  • Strong Excel, QuickBooks, email, general ledger, and organizational skills.
  • Ability to multi-task and learn new applications.
