About the position

The Accounting Assistant-Gift Processing at Wayne State University is responsible for performing complex clerical and bookkeeping tasks related to the processing and reporting of accounting activities within the Division of Development and Alumni Affairs. This role involves managing donor information, processing gifts and pledges, and ensuring compliance with IRS guidelines and university policies. The position requires attention to detail, strong organizational skills, and the ability to work independently and collaboratively.

Responsibilities

  • Enter gifts, pledges, and payroll deductions into the university's administrative system (Banner Advancement).
  • Update donor biographical information as needed.
  • Research, authorize, and submit matching gift request forms in a timely manner.
  • Act as liaison with matching gift companies.
  • Process credit card transactions and ensure adherence to PCI Compliance policy.
  • Deposit gift checks into the gift revenue bank account using business deposit capture method.
  • Assist in the reconciliation of the university bank account for gift deposits and gift clearing accounts.
  • Request internal transfers and validate gift transactions in Banner Finance.
  • Generate tax receipts for charitable gifts according to IRS guidelines.
  • Assist donors, alumni, and staff with inquiries related to gifts and pledges.
  • Generate and mail pledge reminders as scheduled.
  • Prepare donor-related correspondence as needed.
  • Analyze and verify biographical, gift, and pledge data for accuracy.
  • Process corrections to donor giving records and facilitate problem resolution.
  • Respond to internal and external auditor inquiries as directed.

Requirements

  • High school graduate.
  • Some business school or college coursework preferred.
  • Experience with Microsoft Office suite, including Excel, Word, and Outlook.
  • Familiarity with administrative systems software, preferably in higher education.
  • Ability to operate standard office equipment, including a ten-key calculator.
  • Ability to type and perform data entry with speed and accuracy (40 wpm).
  • Ability to follow standardized procedures for consistency and accuracy of data/records.
  • Ability to manage several projects simultaneously and work within established deadlines.
  • Strong organizational skills and keen attention to detail.
  • Ability to make mathematical computations accurately.
  • Effective and professional communication skills, both orally and in writing.
