About the position

The Foothill-De Anza Community College District is seeking an Accounting Assistant II to join its Accounts Payable team. This position is essential for maintaining the financial integrity of the district by processing a variety of financial transactions in compliance with federal and state regulations. The Accounting Assistant II will work under the direct supervision of the Accounts Payable supervisor and will be responsible for processing invoices related to Purchase Orders, Direct Pay Requests, Payment Authorizations, Trip Vouchers, and various utility bills. This role requires a high level of customer service as it supports a large local college population, ensuring that all financial transactions are handled accurately and efficiently. In this journey-level position, the Accounting Assistant II will perform a range of technical and administrative accounting support duties. These include verifying, posting, balancing, and adjusting financial transactions, maintaining ledgers and journals, preparing bank deposits, and reviewing invoices for accuracy. The incumbent will also assist in generating financial reports and providing support during the annual budget and financial audit processes. The role demands a strong understanding of accounting practices and the ability to work independently while adhering to established policies and procedures. Responsibilities

  • Process invoices associated with Purchase Orders, Direct Pay Requests, and Payment Authorizations.
  • Verify, post, balance, and adjust a variety of financial transactions according to established policies and procedures.
  • Maintain ledgers, registers, and journals, ensuring accuracy and compliance with accounting policies.
  • Prepare bank deposits and manage cash handling procedures for student events.
  • Review invoices and payment requests for accuracy and completeness, resolving discrepancies as needed.
  • Assist in the preparation of financial reports and support the annual budget and audit processes.
  • Provide customer service by answering inquiries regarding account status and general accounting procedures.
  • Perform general office support duties, including sorting mail and maintaining office supplies.

Requirements

  • Completion of 12 semester units or 18 quarter units of college-level coursework in accounting, finance, or a related field.
  • Two years of experience performing duties equivalent to Accounting Assistant I in the District or similar role.
  • Basic knowledge of accounting practices, procedures, and terminology.
  • Ability to perform detailed accounting and financial office support work accurately and in a timely manner.
  • Proficiency in modern office practices and computer applications related to accounting.
