About the position

The Accounting Clerk III position at the District Office is designed to provide essential support to the accounting functions within the Business Services Department. This part-time role requires the individual to work four hours a day, specifically from 8:30 AM to 12:30 PM, for a total of 260 days per year, with the work schedule running from July to June. The salary for this position ranges from $21.06 to $29.16 per hour, depending on experience and qualifications. The successful candidate will be responsible for ensuring compliance with district financial obligations and providing timely financial services and processing of financial functions. In this role, the Accounting Clerk III will inform personnel and vendors about the necessary documentation and procedures required to complete transactions, ensuring adherence to established fiscal guidelines. The position involves maintaining various fiscal information, files, and records, such as accounts payable and contracts, to provide an up-to-date reference and audit trail for compliance purposes. The clerk will also prepare documentation, including invoices and correspondence, to support financial operations and comply with fiscal requirements. Additionally, the Accounting Clerk III will process various fiscal information to update records and authorize final actions in compliance with accounting requirements. This includes reconciling accounts payable, researching discrepancies in financial information, and communicating effectively with vendors and colleagues. The role requires maintaining positive and professional working relationships with all stakeholders and assisting other personnel as needed to support their work activities. Other duties may be assigned as necessary to fulfill the responsibilities of the position.

Responsibilities

  • Inform personnel and/or vendors regarding required documentation and/or procedures for transactions.
  • Maintain various fiscal information, files, and records for compliance and reference.
  • Prepare documentation such as invoices and correspondence to support financial operations.
  • Process various fiscal information to update records and authorize actions.
  • Reconcile accounts payable to maintain accurate account balances.
  • Research discrepancies in financial information and documentation for accuracy.
  • Communicate effectively with vendors, colleagues, and supervisors.
  • Maintain positive, professional working relationships with colleagues and vendors.
  • Post information to purchase orders, invoices, and computer reports.
  • Sort, distribute, file, and mail forms and accounting documents.
  • Assist other personnel as required to support their work activities.

Requirements

  • Two years of responsible accounting clerical experience preferred.
  • High school diploma or equivalent required.
  • Additional specialized training in accounting and computer technology is desirable.
  • Skill to perform standard reconciliation with source documents and prepare work papers to analyze account balances.
  • Ability to operate standard office equipment and use basic computer applications.
  • Knowledge of basic accounting principles, laws, codes, and regulations.
  • Ability to sit for prolonged periods and work accurately with attention to detail.
  • Ability to understand and carry out oral and written instructions.
