About the position

The Accounting Clerk at X-Bow Systems is responsible for managing payroll processing and ensuring compliance with federal and state regulations. This role involves setting up new hires in payroll systems, processing payroll, and maintaining accurate records. The ideal candidate will also handle vendor reconciliations and assist with travel reimbursements, contributing to the overall financial operations of the company.

Responsibilities

  • Reconcile vendor bills with purchase orders, packing lists, and inventory receipts; resolve discrepancies and record in the accounting system.
  • Record and track multi-entity vendor invoices through the approval process.
  • Attach required documentation to bills in the accounting system.
  • Process multi-entity bills weekly, considering due and discount dates.
  • Monitor vendor aging reports weekly and follow up as needed.
  • Maintain updated vendor files with documentation such as W-9s and credit applications.
  • Communicate with vendors to resolve payment issues.
  • Assist employees in submitting travel and reimbursement claims.
  • Support the annual audit process.
  • Process bi-weekly and semi-monthly payroll, ensuring compliance with company policies and regulations.
  • Set up new hires in Unanet and Paylocity, including onboarding, benefits enrollment, and time tracking.
  • Maintain payroll records, address payroll inquiries, and distribute reports to management.
  • Stay updated on payroll laws and regulations; assist with year-end activities like W-2 processing.
  • Collaborate with HR and Finance to optimize payroll processes and conduct audits for compliance.

Requirements

  • Bachelor's degree in Accounting, Finance, Human Resources, or related field (preferred).
  • Minimum 3 years of payroll experience.
  • Proficiency in Unanet and Paylocity preferred.
  • Strong knowledge of payroll laws and regulations.
  • Excellent attention to detail, organizational, and communication skills.
  • Ability to maintain confidentiality and handle sensitive information.
  • Proficiency in Microsoft Office, especially Excel.
