About the position

The Accounting Clerk/Receptionist role at Robert Half in Eugene, Oregon, involves managing a variety of administrative and financial tasks. This position is crucial for handling accounts payable and receivable, performing data entry, and fulfilling receptionist duties. Responsibilities

  • Manage the front desk reception, including answering phone lines, directing calls, and assisting clients, contractors, and representatives.
  • Perform accounts payable tasks such as preparation, batching, and data entry.
  • Handle accounts receivable tasks, including preparing daily checks for remote deposits, creating a daily deposit sheet, and posting money against the accounts receivable in our system.
  • Process electronic fund transfers and credit card payments.
  • Enter budget sheets for every job created.
  • Prepare and send accounts receivable billings to customers, and enter all billings into the system.
  • Assist Project Managers with any questions regarding accounts payable or accounts receivable.
  • Run job closing reports, calculate total margins, and review.
  • Manage accounts payable and accounts receivable filing.
  • Verify lien waivers with system totals, obtain signatures and notarize.
  • Provide backup support to the administrative assistant when they are on vacation.
  • Collaborate directly with our General Manager, Administrative Assistant, Project Managers, and the Accounting Department.

Requirements

  • Proficiency in Account Reconciliation
  • Experience with Accounts Payable (AP) and Accounts Receivable (AR)
  • Familiarity with Billing procedures
  • Ability to perform Data Entry tasks accurately and efficiently
  • Experience in Invoice Processing
  • Proficiency in Microsoft Excel
  • Experience in Receptionist Duties
  • Ability to handle Switchboard - Phones 1 - 10 Lines
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multitask
