About the position

The Accounting Clerk will perform a variety of accounting, bookkeeping, and financial tasks, including verifying and entering invoices, processing payments to vendors, preparing reports, and reconciling accounts payable balances. This role involves direct collaboration with the Club Controller and requires strong organizational skills and attention to detail.

Responsibilities

• Fact-check invoices for payment and processing.
• Understand billing account system and work with Controller/department heads to ensure proper handling and posting of invoices.
• Maintain and organize vendor files.
• Confirm current W-9 is available for all vendors and obtain form where missing.
• Set up new vendors and enter appropriate information into accounting system.
• Enter invoices and verify that invoice information reconciles to receiving and order information.
• Communicate clearly and accurately with vendors to ensure that billing discrepancies are identified, communicated, and resolved.
• Reconcile monthly vendor statements.
• Issue payments to vendors as approved.
• Protect organization's value by keeping information confidential.
• Assist Controller with audits, forecasts, and other fiscal planning.
• Answer vendor/staff questions via phone and email.
• Perform filing, mailing, and other duties as needed.
• Perform other related duties as may be assigned by the Controller.

Requirements

• Associate Degree or two years of related accounting/bookkeeping experience.
• Understanding of accounts payable processes, practices, and protocols.
• Ability to work effectively within a team environment.
• Effective communicator who can clearly articulate issues.
