About the position

The Accounting & Finance Assistant at Mittleman Eye Center is responsible for managing the accounting and financial processes of the practice. This role involves ensuring the accuracy of financial data entry in QuickBooks, assisting with vendor negotiations, tracking expenditures and profits, and maintaining compliance with healthcare regulations. The position requires collaboration with various departments to optimize revenue streams and support the overall financial health of the practice.

Responsibilities

  • Report to CBO (Consultant) / CEO
  • Ensure data on QuickBooks is correctly entered in a timely manner with proper requisitions, receipts, budget codes, and signatures.
  • Assist the company with purchasing and negotiating with vendors.
  • Manage day-to-day tracking of expenditures and profits.
  • Assist with strategies for effective revenue cycle processes, including patient registration, insurance verification, charge capture, coding, billing, and collections.
  • Work with the billing department to generate monthly and quarterly reports and review billing activity for accuracy.
  • Help with accounting functions related to the revenue cycle, including accounts receivable and accounts payable.
  • Ensure compliance with federal, state, and local regulations, including HIPAA.
  • Stay updated on changes in healthcare billing and accounting standards.
  • Assist the billing department with data integrity and security within the billing and accounting systems.
  • Monitor departmental budgets and submit spending reports regularly.
  • Organize and present data reports from different departments for analysis purposes.
  • Process and prepare financial statements for the CBO.
  • Assist with regular financial audits and implement controls to safeguard the practice's financial assets.
  • Prepare and analyze financial statements and reports.
  • Support and process other work as assigned.

Requirements

  • Bachelor's degree in accounting, finance, business, management, or related field with at least 3 years of experience.
  • Associate degree with at least 5 years of experience.
  • Two years of experience working in accounting and finance.
  • One year of experience in medical coding and/or billing is a plus.
  • Solid understanding of accounting and finance procedures.

Nice-to-haves

  • Experience with accounting and financial software such as QuickBooks, AdvancedMD, SAP, NetSuite, Dynamics360, and Excel.
  • Proven leadership experience with the ability to manage and motivate a team.
  • Knowledge of business and finance practices.
  • Adept at budgeting and forecasting.
