About the position

The Accounting Manager at Pathfinders is responsible for maintaining accurate accounting records, preparing financial reports, and supporting the organization's mission to eliminate poverty through effective financial management. This role involves collaboration with the CEO and Fractional CFO, ensuring compliance with accounting standards, and managing human resources functions related to onboarding and staff management.

Responsibilities

  • Maintain and update accounting records and files on a timely basis, ensuring they are complete and accurate.
  • Prepare general ledger account reconciliations, verify the accuracy of data and reports, identify and correct errors in the financial statements and records.
  • Prepare special financial reports as requested by the CEO by collecting, analyzing, and summarizing financial information and trends.
  • Prepare financial and operational budgets and reports in conjunction with grant funding applications.
  • Complete monthly and year-end financial close, including journal entries, account reconciliations, accruals, and maintain accounts and records.
  • Update and maintain supporting records and documentation for financial transactions.
  • Prepare monthly billing to grantors along with supporting documentation and reports.
  • Prepare the annual budget.
  • Preparation of bi-monthly payroll, quarterly and year-end 941, unemployment reports, W-2s and 1099s.
  • Maintain relationship with audit firm and preparation of audit schedules.
  • Prepare schedules and support documents as requested by the CPA firm auditing our financials and preparing the annual Form 990.
  • Assume responsibility for onboarding, setting up workspace for new hires, and paperwork for termination of staff.
  • Track staff vacation and sick time.
  • Maintain relationship with benefit providers.
  • Maintain personnel files.
  • Research HR practices and maintain Policies and Procedures.
  • Receive mail and route to appropriate personnel.
  • Assist with major purchases for the agency including vendor research and procurement.
  • Procure, select and engage building maintenance providers to ensure safe occupancy and use of building.
  • Order office supplies and building maintenance supplies as needed.
  • Maintain equipment inventory.
  • Schedule vendors for maintenance as needed.
  • Assist CEO as requested.

Requirements

  • Bachelor's degree in Accounting or related field.
  • Two or more years of general accounting or general ledger accounting experience.
  • Proficiency in QuickBooks and Microsoft Excel.
  • Knowledge of Generally Accepted Accounting Principles (GAAP) and Single Audit standards.
  • Strong analytical skills and attention to detail.
  • Ability to communicate effectively both verbally and in writing with staff, clients, volunteers, and the public.
  • Proven ability to meet assigned deadlines.

Nice-to-haves

  • Experience in Bloomerang is a plus.
  • Bilingual in Spanish is a plus.
  • Nonprofit accounting experience with strong understanding of federal, state and local grant regulations.
