About the position

The Accounting Manager at Warwick Hotel Rittenhouse Square is responsible for overseeing the smooth and efficient processing of all accounting-related information within the hotel. This role requires a strong focus on maintaining high standards of service and compliance with company regulations to ensure safe and efficient hotel operations. The Accounting Manager will approach all encounters with guests and employees in an attentive, friendly, and courteous manner, maintaining a warm demeanor at all times. Key responsibilities include overseeing the duties of the General Cashier, which involves daily reconciliation of Rooms, Food, Beverage, and House deposits. The Accounting Manager will also maintain the over/short log and controls for all cashier banks in the hotel. Daily tasks include posting city ledger payments according to the Daily Mail Cash Receipts (DMCR), preparing bank deposits, and managing accounts receivable billing. The role requires conducting credit meetings with the General Manager, processing returned checks and credit card chargebacks, and performing monthly accounts receivable balancing. Additionally, the Accounting Manager will maintain the Special Operating Account and Petty Cash Fund, voucher invoices according to company standards, and ensure timely submission of hotel invoices to Corporate Accounts Payable. Daily income audits will be performed to ensure accuracy in financial reporting, and the Accounting Manager will monitor the work of Guest Services and Night Audit agents to ensure proper accounting procedures are followed. Training of Night Auditors and participation in weekly staff meetings are also essential components of this role. Confidentiality of sensitive information must be maintained, and the Accounting Manager will perform any other duties as requested by the Assistant Controller or Controller.

Responsibilities

  • Oversee the smooth and efficient processing of accounting-related information.
  • Approach all encounters with guests and employees in an attentive, friendly, and courteous manner.
  • Maintain a warm and friendly demeanor at all times.
  • Comply with BSHS standards and regulations to encourage safe and efficient hotel operations.
  • Oversee the duties of General Cashier, including daily reconciliation of deposits.
  • Maintain the over/short log and controls for all cashier banks in the hotel.
  • Post all city ledger payments daily according to the Daily Mail Cash Receipts (DMCR).
  • Prepare all bank deposits, 'due backs,' and bank change orders according to BSHS standards.
  • Maintain responsibility for the billing of accounts receivable daily.
  • Conduct credit meetings twice monthly with the General Manager.
  • Process returned checks and credit card chargebacks.
  • Perform the Accounts Receivable Balancing function at least once each month.
  • Maintain the Special Operating Account and the Petty Cash Fund according to BSHS standards.
  • Voucher A&G and PT & EB invoices utilizing the Purchase Order and Checkbook Accounting procedures according to BSHS standards.
  • Ensure that all hotel invoices are submitted to Corporate Accounts Payable weekly.
  • Perform the income audit on a daily basis using the income audit checklist.
  • Reconcile credit cards daily.
  • Monitor Guest Services and Night Audit agents' work for proper accounting procedures.
  • Oversee the training of all Night Auditors in regards to their accounting-related responsibilities.
  • Process bi-weekly payroll and prepare for transmission.
  • Attend weekly staff meetings and provide training on a rotational basis.
  • Participate in required MOD coverage as scheduled.
  • Maintain confidentiality of sensitive information as appropriate.

Requirements

  • Associate's degree and at least 3 years of related experience; or a Bachelor's degree and at least 1 year of related experience; or at least 5 years of progressive experience in a hotel or a related field.
  • Proficient in Windows operating systems and able to manipulate and troubleshoot spreadsheets.
  • Supervisory experience required.
  • Ability to convey information and ideas clearly.
  • Ability to evaluate and select among alternative courses of action quickly and accurately.
  • Ability to work well in stressful, high-pressure situations.
  • Effective in handling workplace problems, including anticipating, preventing, identifying, and solving issues as necessary.
