We are currently seeking a motivated and organized individual to join our team in maintaining a productive and efficient office environment. This position is crucial for overseeing the daily operations of the office, ensuring that all administrative functions run smoothly and efficiently. The ideal candidate will be proactive, possess excellent organizational and communication skills, and be capable of managing multiple tasks and priorities effectively. In this role, you will be responsible for various key functions, including accounting coordination, operational management, and administrative support. You will prepare and issue invoices to clients accurately and in a timely manner, track accounts receivable, and ensure the timely collection of payments. Additionally, you will resolve any discrepancies related to invoices and maintain accurate records of all invoicing transactions. Your role will also involve handling incoming and outgoing communications, assisting in the contract review process, and providing general administrative support to the team as needed. Operationally, you will assist in managing daily activities to ensure smooth business operations, coordinate with various departments to streamline processes, and develop and implement operational policies and procedures. Compliance with company policies and industry regulations will be a key focus of your responsibilities. Furthermore, you will provide administrative support to the management team, including scheduling meetings, preparing internal communications, and maintaining organized records and files. This position is essential for the overall efficiency and productivity of our office environment.

Responsibilities

  • Prepare and issue invoices to clients accurately and timely.
  • Track and manage accounts receivable, ensuring timely collection of payments.
  • Resolve any discrepancies or issues related to invoices and payments.
  • Maintain accurate records of all invoicing transactions.
  • Handle incoming and outgoing communications, including phone calls, emails, and mail.
  • Assist in the contract review process, certified payroll, AIA forms, and other documents.
  • Provide general administrative support to the team as needed.
  • Assist in the management of daily operational activities to ensure smooth business operations.
  • Coordinate with various departments to streamline processes and improve workflow.
  • Develop and implement operational policies and procedures.
  • Ensure compliance with company policies and industry regulations.

Requirements

  • Proven experience as an Office Manager, Administrative Assistant, or similar role.
  • Excellent organizational and time management skills.
  • Strong written and verbal communication skills.
  • Proficiency in MS Office (Word, Excel, Outlook), Adobe, and office management software.
  • Ability to multitask and prioritize tasks effectively.
  • Attention to detail and problem-solving skills.
  • High school diploma; additional qualifications as an Office Administrator or Secretary are a plus.
