About the position

The Accounting and Office Administrator position at Pasona N A, Inc. is a permanent, full-time role based in Schaumburg, IL. This role serves as the primary point of contact for all employees and involves coordinating with an outsourced financial accounting company. The position also focuses on promoting the insourcing of certain accounting functions in the near future, ensuring adherence to company policies, and managing various administrative and accounting tasks.

Responsibilities

  • Serve as the point of contact for all employees regarding accounting and office administration.
  • Coordinate daily with an outsourced financial accounting company.
  • Promote the insourcing of part of the outsourced accounting functions.
  • Ensure adherence to relevant company procedures and policies.
  • Make travel arrangements for team members.
  • Maintain and update databases related to PTO, leave, and other records.
  • Control office supplies and ensure they meet office needs.
  • Create and present reports for management.
  • Assist with budgeting and bookkeeping activities.
  • Process payments to suppliers and manage entertainment and travel expenses using Bill.com.
  • Handle bank transfers primarily to the headquarters in Japan.
  • Perform day-to-day accounting functions, including invoice processing using QuickBooks and other online software.
  • Manage credit card transactions and ensure proper documentation for expenses.
  • Release and manage checks for payments to government entities.
  • Handle accounts receivable and payable requests, resolving discrepancies in a timely manner.
  • Enter financial transactions into accounting software and maintain confidentiality of financial data.
  • Arrange shipping from the office to customers via forwarding and courier agencies.

Requirements

  • Bilingual in Japanese and English.
  • Basic experience in bookkeeping and accounting.
  • Proficiency in Microsoft Office.
  • Experience with accounting software, particularly QuickBooks and Microsoft Dynamics 365.
