About the position

The Accounting Operations Coordinator Z at SMS Holdings Corp is responsible for maintaining accounts payable and receivable records, processing expense reports, and ensuring compliance with company policies. This role involves communication with customers regarding payments, managing collections, and supporting various accounting functions to enhance operational efficiency.

Responsibilities

  • Compile and maintain accounts payable records.
  • Record payments to customer accounts and maintain accounts receivable records.
  • Review and process expense reports, ensuring compliance with travel policies.
  • Communicate discrepancies in expense reports to the field.
  • Track monthly expense reports for travelers.
  • Edit batches for policy compliance and deadlines.
  • Review credit card logs and oversee credit card policy compliance.
  • Receive payments and post amounts to customer accounts daily.
  • Research and process customer inquiries, charge backs, returns, and refunds.
  • Manage collections by contacting customers regarding overdue payments.
  • Record financial status and collection efforts in the Collections Manager tool.
  • Obtain and send invoice copies to customers as requested.
  • Answer accounts receivable inquiries and follow up as needed.
  • Assist with special projects as required.
  • Examine work for accuracy and compliance with policies.
  • Standardize procedures to improve efficiency.
  • Prepare composite reports for management.
  • Adjust errors and complaints as necessary.
  • Work with RVP on contract issues.
  • Reconcile customer accounts for discrepancies.
  • Edit other staff members' work for accuracy.

Requirements

  • Associate's degree or equivalent from a two-year college or technical school.
  • Six months to one year of related experience or training, or equivalent combination of education and experience.
  • Ability to read and interpret documents such as safety rules and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively before groups of customers or employees.
  • Ability to calculate figures and amounts such as discounts and percentages.
  • Ability to solve practical problems and interpret various instructions.
  • Knowledge of Microsoft Word and Excel, and Great Plains accounting software.
