About the position

The Accounting and Payroll Specialist is a full-time administrative role within the Administrative Office of the Courts, responsible for bookkeeping, accounting, and payroll tasks. This position requires the application of basic bookkeeping principles to manage financial records and ensure compliance with state and federal payroll guidelines. The specialist will work independently on moderately complex accounting records and will report to the Accounting and Payroll Manager, with no supervisory responsibilities.

Responsibilities

  • Input all payroll information necessary for payment and perform maintenance functions on the payroll system.
  • Verify each check processed by the state and ensure proper flow of employee data with the Human Resources Department.
  • Process payments for all benefits and make adjustments for personnel changes.
  • Maintain and review payroll account codes in accordance with Judicial Branch budgeting guidelines.
  • Review accuracy for proper approvals and process payment of all bills from all levels of courts.
  • Communicate with employees and vendors regarding payment questions and process invoices to critical vendors.
  • Ensure transactions comply with policies, procedures, and business practices.
  • Perform internal audit procedures on all transactions and documents prior to release of information to the state system.
  • Reconcile payroll, expense accounts, revenue accounts, and travel accounts to the state accounting system.
  • Process all revenues, including transfers to the state accounting system.
  • Assist in maintaining inventory reports for items valued over $250.
  • Complete special projects and cost analysis studies as requested by the Accounting & Payroll Manager.
  • Participate in preparing monthly, quarterly, and annual reports.

Requirements

  • High school diploma or GED required; college or post-secondary coursework in bookkeeping and accounting preferred.
  • Two years of experience working with bookkeeping and/or accounting functions required.
  • Valid driver's license.

Nice-to-haves

  • Experience with Human Resources Information Systems (HRIS).
  • Knowledge of state and federal payroll guidelines.
