About the position

We are seeking a full-time property management and accounting Admin Assistant to support the Finance and Property Management team in managing our healthcare real estate portfolio. This role involves assisting with tenant outreach, vendor management, and financial processes, contributing to the overall efficiency of property management operations.

Responsibilities

  • Assist in tenant outreach regarding the collection of rents, posting late fees and sending late notices.
  • Report daily collection progress to property managers.
  • Assist property managers with responding to tenant needs, including fielding service calls and coordinating vendor dispatch.
  • Review GL coding and descriptions of vendor invoices for Property Manager's approval.
  • Follow up with vendors for outstanding invoices and resolve questions on invoiced items.
  • Prepare vendor service contracts as directed and assist in requesting vendor quotes.
  • Process semi-monthly check runs and mail check payments to vendors.
  • Investigate and resolve monthly bank account reconciling items.
  • Work closely with Accounts Payable and Finance teams for month-end closing processes, including preparing budget to actual variance analysis.
  • Maintain organized electronic records, including tenant leases and vendor files.
  • Enforce compliance of tenant reporting requirements per lease agreements.
  • Assist Finance and Property Management team with annual budgeting and forecasting processes.
  • Assist with any other duties and ad-hoc projects as needed.

  • Strong skills in data entry, bookkeeping, generating reports, and tracking ongoing projects.
  • General understanding of commercial leases.
  • Previous experience in Property Management/Real Estate is a plus.
  • Proficient in MS Office.
  • Professional working proficiency in Spanish is a plus.
  • General knowledge and experience with Yardi Software is a plus.
