About the position

The Accounts Payable Administrator at Russell Tobin & Associates is responsible for managing the full cycle of accounts payable activities within a biopharmaceutical company. This role involves auditing and coding invoices, vendor communications, and ensuring compliance with corporate policies and government regulations. The position is hybrid, based in San Diego, CA, and is a contract-to-hire opportunity with an estimated start date in November 2024.

Responsibilities

  • Codes and audits invoices and expense reports.
  • Maintains the daily Coupa Queue Processing - Invoice In Box/Smash Address Coupa Comments.
  • Handles vendor maintenance and researches invoice issues with resolution.
  • Verifies approval for all vouchers for payment prior to processing.
  • Prepares AP checks and performs weekly check runs.
  • Answers vendor inquiries and resolves vendor billing/payment discrepancies.
  • Performs monthly A/P to G/L account reconciliations.
  • Completes AP month-end close tasks and prepares annual 1099 tax reporting.
  • Maintains AP files and provides A/P support documentation for external auditors.
  • Adheres to corporate policies, government regulations, and ensures all deadlines are met.
  • Provides AP support to employees and vendors and performs ad hoc projects as needed.

Requirements

  • 5-7 years' related experience, preferably in the pharmaceutical or biotech industry.
  • Previous Accounts Payable experience required.
  • Bachelor's degree or equivalent combination of relevant education and applicable job experience may be considered.
  • Experience working in a public company and in a Sarbanes-Oxley 404 environment.
  • Experience with Great Plains, Concur, Coupa, and Excel.
  • Strong analytical and organizational skills with attention to detail.
  • Ability to schedule and coordinate multiple projects in a high-paced environment.
  • Effective organizational, communication, and time management skills.

Nice-to-haves

  • Experience in the pharmaceutical or biotech industry.
  • Understanding of sales/use tax application.
