About the position

Ozaukee Country Club is seeking an Accounts Payable and Payroll Specialist responsible for managing the Club's accounts payable processes and payroll operations. This role ensures timely and accurate processing of invoices, manages payment schedules, processes bi-weekly payroll, and maintains compliance with relevant laws and regulations. Additionally, the position involves coordinating employee benefits and providing support for HR functions.

Responsibilities

  • Process and review invoices for accuracy and completeness, ensuring Manager's have coded and approved payment prior to processing.
  • Prepare and process payments weekly.
  • Reconcile accounts payable transactions and resolve discrepancies in a timely manner.
  • Maintain accurate and organized records of all accounts payable invoices and documents.
  • Collaborate with vendors and internal departments to resolve issues related to payments and invoices.
  • Understand sales and use tax and ensure that all taxes are included on all vendor invoices.
  • Prepare payroll every other Monday for 50-175 employees.
  • Maintain payroll records & coordinate new hire paperwork and employee benefits deductions.
  • Understand and maintain compliance issues such as W-9's and W-4's.
  • Maintain accurate records of pay rates and available PTO for all employees.
  • Maintain 401K and HSA records and prepare spreadsheets for recordkeepers.
  • Assist applicable staff with information about anniversary, insurance, and 401(k) enrollment dates.
  • Serve as the primary point of contact for employee benefits inquiries and support.
  • Ensure accurate and timely enrollment of new employees in benefits programs and handle changes for existing employees.
  • Maintain benefits records and ensure compliance with applicable laws and regulations.
  • Assist with the open enrollment process and communicate updates or changes to employees.
  • Answer phones and book dining reservations.

Requirements

  • High School Diploma or equivalent is required.
  • 2+ years of experience in accounts payable, payroll and/or benefits administration is preferred.
  • Excellent organizational and time-management skills.
  • Strong data entry skills.
  • High attention to detail and accuracy.
  • Maintain a professional rapport with management, co-workers, members and vendors.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Knowledge of Jonas accounting software is preferred.
  • Must have reliable transportation to be able to make multiple trips per week to post office box and trips to the bank.
