About the position

The Accounts Payable and Payroll Manager at The Barnett Hotel is responsible for overseeing the accounts payable processes and managing payroll functions within the Accounting/Finance Department. This role requires a detail-oriented individual who is passionate about accuracy and compliance, ensuring that all financial transactions are processed correctly and efficiently. The position reports directly to the Area Assistant Director of Accounting and involves collaboration with various stakeholders to maintain financial integrity and support operational needs.

Responsibilities

  • Prepare and execute pay orders through an electronic system or distribute paychecks to vendors.
  • Analyze and process accounts payable in a timely manner.
  • Process and record invoices, vouchers, expense reports, and check requests with applicable codes.
  • Handle all vendor correspondence via phone or email.
  • Investigate and resolve problems associated with processing invoices.
  • Prepare check requests, wire transfers, and ACH transactions.
  • Reconcile various accounts monthly and report discrepancies to the Controller.
  • Research and resolve routine internal and external inquiries concerning account status.
  • File, maintain, and distribute accounting documents, records, and reports.
  • File Forms 1099, W-2, and other required forms for government agencies.
  • Direct payroll procedures, ensuring compliance with laws and tax obligations for multiple states.
  • Process gratuities for payroll bi-weekly, generate payroll reports, and prepare general journal entries.
  • Reconcile tax reports and set up tax accounts in multiple states.
  • Obtain management approval for payments when needed.

Requirements

  • Proven experience as a payroll specialist or payroll manager for multiple states or locations.
  • Solid understanding of accounting fundamentals and payroll best practices.
  • Very good knowledge of legislation and regulations in the field.
  • Proficient in MS Office; knowledge of Paycom is a plus.
  • Trustworthy with attention to confidentiality.
  • Strong attention to detail and organizational skills.
  • Excellent communication skills.
  • Open to change and willing to learn new skills.
  • Ability to follow up on pending issues and meet deadlines.
  • High school diploma or equivalent; BSc/BA in business, accounting, or relevant field is a plus.
