About the position

The Accounts Payable and Purchasing Specialist at Family Service & Guidance Center is responsible for managing the agency's purchasing and accounts payable functions. This role involves ordering supplies, processing payments, maintaining inventory, and assisting with financial reporting. The specialist will work closely with vendors and staff to ensure efficient operations and support the financial health of the organization.

Responsibilities

• Order office supplies and equipment for all locations and maintain the office supply inventory.
• Prepare daily deposits and post all client payments received through the mail to the electronic medical record system.
• Review and process payment requests on a timely basis, once per week.
• Assist with monthly grant reports and audit reports, including program expense spreadsheets and transportation reports.
• Maintain logs and cost sheets for the agency vehicle fleet and items stored offsite.
• Assist with scheduling and registration for staff seminars and travel.
• Obtain monthly copy counts and submit them to leasing companies.
• Calculate bi-weekly lunch count sheets for payroll processing.
• Assist with the annual financial audit as requested by the CFO or Staff Accountant.
• Maintain working relationships with vendors and ensure beverage stations are adequately supplied.

Requirements

• High school diploma or GED equivalent required.
• 1+ years' accounts payable experience.
• Proficiency in Microsoft Office Suite and ability to learn other software programs as necessary.
• Effective communication skills (verbal and written).
• Strong organizational skills and time management abilities.
