About the position

The Accounts Payable and Receivable Coordinator plays a crucial role in the accounting team at Vivify, reporting directly to the AP/AR Group Leader. This full-time position is responsible for managing all aspects of accounts payable and receivable, ensuring timely and accurate processing of payments and invoices while maintaining effective communication with vendors and customers.

Responsibilities

• Prepares all vouchers and approved invoices for payment.
• Processes all company payments in a timely manner including posting invoices, check run, and 3-way matching.
• Communicates with vendors to resolve discrepancies or issues related to invoices and payments.
• Interfaces with appropriate departments to secure proper payment approvals.
• Maintains accurate records of accounts payable and receivables transactions in the accounting system.
• Records incoming payments and applies them to the appropriate customer accounts, tracking payment status.
• Communicates with customers regarding outstanding invoices, payment inquiries, and discrepancies.
• Assists in monthly reconciliations of accounts payable/receivable and related general ledger accounts.
• Performs other related duties as assigned by management.

Requirements

• High school diploma or equivalent; associate's degree in accounting or finance preferred.
• Minimum 1-4 years related experience and/or training.
• Working knowledge of data collection, data analysis, and evaluation.
• Ability to work with all levels of organization.
• Proficient with Microsoft suite of products and familiarity with ERP systems (e.g., Oracle Netsuite).
• Strong organizational, problem-solving, and analytical skills; able to manage priorities and workflow.
• Excellent written and verbal communication skills.
