About the position

We are seeking a highly organized and detail-oriented Accounts Payable and Receivable Coordinator to join our team in West Palm Beach. This role is critical in ensuring accurate financial operations, timely processing of invoices and payments, and effective management of customer accounts. The ideal candidate will have strong analytical skills, excellent communication abilities, and a commitment to maintaining accurate financial records.

Responsibilities

  • Review, verify, and process vendor invoices for payment.
  • Ensure timely and accurate payment of all accounts payable items, including expense reports.
  • Reconcile vendor statements and resolve discrepancies promptly.
  • Maintain updated vendor records, including W-9s and payment terms.
  • Collaborate with other departments to obtain necessary approvals for invoices.
  • Monitor customer accounts for outstanding balances and follow up on overdue payments with individual store managers.
  • Post payments to accounts and reconcile discrepancies.
  • Maintain accurate records of customer transactions and account statuses.
  • Prepare and analyze monthly aging reports for both payables and receivables.
  • Assist in month-end and year-end closing processes.
  • Support internal and external audits by providing required documentation and reports.
  • Ensure compliance with company policies and relevant regulations.

Requirements

  • High School Diploma or GED required.
  • 2+ years in accounts payable/receivable or a similar role.
  • Proficiency in QuickBooks Online.
  • Strong Microsoft Excel skills (Google Docs).
  • Excellent organizational skills and attention to detail.
  • Ability to work independently and collaboratively in a team environment.
  • Strong communication and interpersonal skills.
  • Familiarity with general accounting principles and financial regulations.

Nice-to-haves

  • Associate's or Bachelor's degree in Accounting, Finance, or related field preferred.
  • Ability to manage shared services and multiple locations.
  • Cope with high levels of daily processing and problem resolution.
  • Ability to access and learn various financial reporting systems.
