About the position

The Accounts Payable Associate plays a crucial role in managing the invoice entry process, ensuring accurate and timely payments to vendors while adhering to internal controls. This position requires effective communication and problem-solving skills to address invoicing variances and maintain strong relationships with business partners.

Responsibilities

• Manage Source to Pay email boxes efficiently.
• Enter and post vendor invoices (both domestic and international).
• Obtain necessary invoice approvals as per the Invoice Approval Process.
• Conduct 3-way match process to ensure compliance with Payment Policy.
• Verify invoice accuracy and code to appropriate G/L accounts.
• Communicate invoice variances to business partners and drive resolution.
• Allocate costs to the correct business unit for domestic and international freight bills.
• Process T&E expenses in Concur to reconcile credit card bills with the Concur Expense Reporting System.
• Execute bi-weekly check runs to ensure vendor discounts are applied.
• Prepare journal entries at month-end as needed for accounts payable.
• Respond to vendor inquiries regarding invoices and payment status.
• Address business partner inquiries related to invoices and payment status.
• Set up new vendors according to PBB Vendor Setup Policy.
• Prepare 1099 forms at year-end.

Requirements

• General knowledge of accounting principles and procedures related to Source to Pay.
• Experience with manufacturing invoices, including freight, raw materials, and finished goods.
• Familiarity with ERP systems for invoice entry and receipt matching.
• Ability to compile data necessary for accounts payable transactions, specifically 3-way match.
• Effective communication skills.
• Attention to detail and accuracy.
• Strong analytical skills.
• Time management and multi-tasking abilities.
• Ability to work collaboratively in a team environment.
• Proficiency in Excel.
• High School Diploma or equivalent education.
• 3+ years of relevant experience in the Source to Pay space.
