About the position

The Accounts Payable Specialist is responsible for managing and executing timely and accurate payments for vendors, ensuring adherence to departmental procedures while providing excellent service to both internal and external customers. This full-time position requires attention to detail and the ability to handle a high volume of invoices daily, contributing to the overall efficiency of the accounts payable process.

Responsibilities

  • Managing accounts payable using accounting software and other programs.
  • Handling accounts payable for separate entities and vendors.
  • Analyzing workflow processes.
  • Establishing and maintaining relationships with new and existing vendors.
  • Ensuring bills are paid in a timely and accurate manner while adhering to departmental procedures.
  • Processing due invoices for payments.
  • Comparing purchase orders, prices, terms of payment and other charges.
  • Processing transactions and performing accounting duties such as account maintenance, recording entries and reconciling books of accounts.
  • Entering invoices into the accounting system.
  • Reviewing for appropriate documentation and approvals prior to payment.
  • Printing and obtaining signatures on checks.
  • Processing extremely high volume of invoices daily (approximately 300).
  • Performing account reconciliations.
  • Coding invoices with appropriate GL Code.
  • Preparing accruals.
  • Researching vendor disputes and following up on pending credit memos.
  • Reconciling vendor statements.
  • Providing internal and external customer service.
  • Performing other duties as assigned.

Requirements

  • High School Degree or equivalent education.
  • 2-5 years of Accounts Payable experience.
  • Microsoft Applications proficiency.
  • Ability to pay strong attention to details.
  • Ability to balance multiple priorities in a fast-paced environment and align operations and sales processes to achieve business results.
  • Self-motivated with the ability to work independently, resourcefully with minimal oversight.
  • Demonstrated experience in developing strong working relationships with internal and external customers.
