About the position

The Accounts Payable Coordinator is responsible for managing accounts payable processes, performing assigned accounting tasks, and preparing related analyses and reports. This role requires collaboration with various departments to ensure the fulfillment of the organization's mission and objectives, while maintaining accuracy and compliance in financial transactions.

Responsibilities

  • Process disbursements to vendors based on reconciliation of invoices, purchase orders, and receiving documents.
  • Review purchase requisitions to ensure appropriate general ledger and budget codes are used.
  • Prepare remittance information to accompany each payment.
  • Maintain records for vendors subject to 1099 reporting and generate 1099 forms.
  • Manage American Express card records and post transactions to the general ledger.
  • Prepare monthly, quarterly, and annual fiscal reports required by grants and contracts.
  • Set up individuals in accounting software and provide user training.
  • Assist with the annual audit and other duties as assigned by management.
  • Collaborate with the Student Services Department on printing and distributing scholarship checks.
  • Close purchase orders monthly.

Requirements

  • Associate's degree in accounting, finance, economics, or related field; or technical degree/certification with at least one year of related experience.
  • Proficiency in Microsoft Office Suite, especially Excel, and other accounting software programs.
  • Knowledge of Generally Accepted Accounting Principles (GAAP).
  • Ability to write reports, business correspondence, and procedure manuals.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills for vendor and staff interaction.
  • Ability to work independently with minimal supervision in a fast-paced environment.
  • Ability to apply mathematical concepts such as fractions, percentages, and ratios.
