About the position

The Accounts Payable Coordinator at Public Health Solutions (PHS) is responsible for ensuring the timely and accurate payment of the organization's obligations to vendors, consultants, and other payees. This role involves collaboration with various departments to verify documentation, process payment requests, and manage vendor inquiries, all while adhering to PHS policies and procedures. The position is crucial for maintaining financial integrity and supporting the organization's mission to improve health equity in underserved communities.

Responsibilities

  • Verify that all Purchase Orders, payment requests, and invoices are correctly authorized and accompanied by appropriate documentation.
  • Follow up with project directors, project staff, and vendors to complete missing documentation and authorizations.
  • Review and process all payment requests, including travel requests, personal reimbursements, lease payments, rents, utilities, consultant payments, and vendor invoices.
  • Manage petty cash replenishments and corporate credit card payments.
  • Handle vendor inquiries and research payment status and issues in the accounting system.
  • Participate in printing checks, check signing operations, and preparing checks for mailing.
  • Maintain Accounts Payable Unit records and files.
  • Participate in A/P system change initiatives, including design reviews and testing.

Requirements

  • 3-5 years of experience in Accounts Payable (A/P) required.
  • Knowledge of payment processing, billing, and other business processes.
  • Experience working with accounting or financial business systems.
  • Proficiency in Microsoft Excel.
  • High school diploma or GED required; two years of college or university level courses in business curriculum preferred.
  • Experience with accounting systems, knowledge of Intacct preferred.

Nice-to-haves

  • Experience in a non-profit organization.
