About the position

The Accounts Payable Manager at Manhattanville University is responsible for overseeing the accounts payable function, ensuring accurate processing and payment of vendor invoices. This role requires strong organizational skills, attention to detail, and the ability to communicate effectively with vendors and internal departments. The manager will supervise the Accounts Payable Assistant and student workers, maintain vendor files, and ensure compliance with internal controls and 1099 filing requirements.

Responsibilities

  • Review vendor invoices and supporting documentation for adherence to purchase orders and approval policies.
  • Input vendor invoices into the University's accounting system.
  • Produce/mail checks/advices and electronic files for payments to vendors.
  • Prepare and review relevant control reports.
  • Maintain vendor files with supporting documentation and review statements.
  • Maintain vendor profiles including name, address, TIN, 1099 status, and banking information.
  • Monitor AP inbox and respond to inquiries from vendors and departments regarding payments and invoice entries.
  • Resolve PO or budgetary issues with purchasing, budgeting, and departments.
  • Prepare and file annual 1099 forms and files.
  • Supervise Accounts Payable Assistant and student workers.
  • Prepare journal entries and account reconciliations and analyses.
  • Manage pre-paid account and Amex corporate credit cards.
  • Handle ad hoc requests.

Requirements

  • Bachelor's degree in accounting, finance, or business administration.
  • 5 years hands-on accounts payable and supervisory/management experience in a medium to large non-profit environment.
  • Working knowledge of internal controls.
  • Experience in 1099 filings and related requirements.
  • Proficient in Microsoft Office Suite, especially Excel and Word.
  • Knowledge of Colleague or Banner software is a plus.
  • Strong analytical and problem-solving skills.
  • Excellent verbal and written communication skills.
  • Strong supervisory and leadership skills.
