About the position

The Accounts Payable Operations Coordinator at Post Consumer Brands plays a crucial role in supporting the Accounts Payable (AP) Operations team by managing vendor data maintenance, cash disbursement, and invoice indexing processes. This hybrid position requires the individual to be onsite 1-2 days per week, contributing to the efficiency and accuracy of financial operations within the company.

Responsibilities

  • Performing and assisting with the request for vendor documentation during the vendor setup process.
  • Entering data for vendor validation and setup, indexing invoices, and payment information into systems.
  • Verifying, confirming, and authenticating vendor information to prevent fraudulent activity.
  • Identifying, validating, and revising vendor files for payment methods.
  • Resolving uncashed checks and updating vendor payment information.
  • Providing guidance and support regarding vendor data management and inquiries.
  • Maintaining and supporting the customer database, including backing up the Customer Data Steward.
  • Indexing vendor invoices and ensuring invoice accrual deadlines are met.
  • Performing cash disbursement duties for weekly and semi-monthly payment runs.
  • Finalizing company wire payment transactions within the ERP system.
  • Reviewing the Accounts Payable email inbox and delegating inquiries.
  • Retrieving and disbursing delivered mail, including scanning paper invoices.
  • Assisting with compiling and filing the companies 1099-NEC and 1099-MISC forms yearly.
  • Ensuring SOX compliance and assisting with audits and testing.
  • Performing additional duties to support the Accounts Payable department.

Requirements

  • High School Diploma required.
  • 1-3 years in an administrative support role.
  • Experience with vendor maintenance or accounts payable is a plus.
  • Experience with ERP systems, such as JDE or SAP, preferred.
  • Experience in Consumer-Packaged Goods is a plus.
  • Strong analytic and problem-solving skills with attention to detail.
  • Ability to work effectively in a team-based environment with multiple functional groups.
  • Experience in data entry.
  • Strong interpersonal and communication skills.
  • Strong organizational and written communication skills.
  • Ability to independently manage multiple demands and set priorities to achieve objectives.
  • Knowledge of Microsoft Office software, including Word, Excel, and Outlook.
