About the position

The Accounts Payable, Receivable and Payroll Specialist at PrintMailPro is responsible for managing the day-to-day financial processing of transactions, including accounts payable, accounts receivable, and payroll functions. This role aims to streamline collection, payment, and payroll processes while ensuring accurate record-keeping and compliance with company policies.

Responsibilities

  • Manage full cycle Accounts Receivable functions including handling A/R Inbox, desktop deposits, cash collections, and sending invoices and statements.
  • Perform general ledger activities including preparing A/R and A/P related journal entries and reconciling key A/R accounts.
  • Receive, research, and resolve inquiries concerning account status and communicate resolutions of discrepancies.
  • Ensure timely and accurate processing of vendor invoices through the 3-way match process for PO related invoices and timely approvals for non-PO invoices.
  • Process and enter all A/P invoices and expense reports into QuickBooks, ensuring correct GL Account coding.
  • Mail and distribute signed checks and assemble check payment advice to invoices.
  • Assist with reconciling vendor statements and gathering missing invoices from vendors.
  • Manage the credit card process, including gathering receipts from cardholders for month-end journal entries.
  • Review employee expense reports for accuracy and ensure receipts are attached and approvals received.
  • File, maintain, and distribute accounting documents, records, and reports.
  • Process, post, and edit new hires in the payroll system and review employee time punch edits for accuracy.
  • Troubleshoot and resolve employee pay discrepancies in coordination with the payroll vendor.
  • Maintain payroll files and create new employee personnel files.

Requirements

  • Bachelor's degree in business, accounting, or related field.
  • Three years' experience in accounting and/or similar roles.
  • Competency with QuickBooks or similar accounting system.
  • Strong Excel skills and data entry skills.
  • Good listening and communication skills with attention to detail.
  • Strong ethics and ability to work independently and as part of a team.

Nice-to-haves

  • Ability to relocate to Austin, TX before starting work.
