About the position

The Accounts Payable Specialist will be responsible for managing financial transactions within the Finance Department. This role involves processing invoices, maintaining financial records, and ensuring accuracy in financial reporting. The specialist will also handle vendor payments and assist with various administrative tasks related to financial operations.

Responsibilities

  • Gather, assemble, tabulate, check, and file financial data.
  • Keep financial records and ledger accounts and process documents involved in financial transactions.
  • Perform financial reconciling and posting.
  • Make arithmetical calculations and verify extensions.
  • Match invoices against purchase orders and prepare weekly payment runs.
  • Process invoices for payment to vendors, checking for accuracy and resolving discrepancies.
  • Match invoices to receiving documents and purchase orders to ensure accuracy.
  • Provide administrative, technical, or production services that support others.
  • Process checks and refund requests, ensuring accuracy and resolving issues.
  • Answer phone and mail inquiries, research questions, and provide information.
  • Prepare manual checks and distribute/mail checks as needed.
  • Compose letters, memos, or reports of a routine or recurring nature.
  • Explain information related to day-to-day or recurring issues.
  • Accountable for helping others or providing regular guidance as needed.
  • Perform other duties as assigned.

Requirements

  • Associate degree or equivalent formal training, with accounting coursework highly desirable.
  • Highly organized and self-motivated individual who can work independently.
  • Strong verbal and written communication skills.
  • Ability to manage multiple tasks and priorities and adapt to changing situations.
  • Strong PC skills with a working knowledge of Microsoft Office, including Outlook, Word, and Excel.
  • Excellent data entry skills with strong attention to detail and accuracy.
  • Ability to understand and follow work processes.
