About the position

The Accounts Receivable Analyst position at Cordialsa USA is a full-time role based in The Woodlands, TX, with a salary range of $45,000 to $50,000 per year. The primary focus of this role is to manage the accounts receivable portfolio effectively, ensuring that it remains within the risk indicators defined by the company. This includes monitoring turnover days, the percentage of overdue accounts, and discrepancies in balances. The analyst will be responsible for daily processing of deposits and payment differences, applying payments to customer accounts, and monitoring accounts for delayed payments and other irregularities. In addition to these core responsibilities, the analyst will communicate with clients via telephone, mail, or fax to address inquiries regarding their portfolio balances. Weekly portfolio reports will be prepared for management and the sales force, and the analyst will collaborate with the sales team to resolve any issues related to customer accounts. The role also involves conducting collection analysis and accessing bank systems to facilitate collection and investigation processes. The analyst will be expected to keep accounts up to date and make claims for balances that do not apply or require additional support. The position grants the analyst the authority to block customers with poor payment behavior and to prepare credit notes or send expenses up to $50 without prior authorization. For expenses exceeding this amount, the analyst must follow the financial process. The ideal candidate will possess strong analytical skills, excellent communication abilities, and a high level of organization, enabling them to thrive in a fast-paced and diverse environment.

Responsibilities

  • Daily processing of deposits and differences in payments.
  • Application of payments to the portfolio.
  • Monitoring of customer accounts, delayed payments, and other irregularities.
  • Investigate and resolve payment discrepancies.
  • Communicate with clients by telephone, mail, or fax regarding their portfolio balance.
  • Prepare weekly portfolio reports for management and sales force.
  • Manage with the sales force any problems with customer accounts.
  • Assist customers with account statements, credits, and any questions about their account.
  • Conduct collection analysis.
  • Access the bank to carry out the collection and investigation processes.
  • Keep track of accounts up to date.
  • Make claims when a balance is found that does not apply and/or supports are needed.
  • Use designated customer portals to obtain support and check payment status.
  • Manage with the logistics team any situation with customer accounts.

Requirements

  • Bachelor's degree in Accounting, Business Administration, or a related field.
  • Two years of experience in accounts receivable or similar roles.
  • Experience with ERS, SAP, Oracle, or similar programs is desired.
  • Intermediate Microsoft Excel skills (pivot tables, v-lookups, formulas).
  • Excellent communication skills.
  • Excellent time management skills.
  • Ability to work in a fast-paced and highly diverse environment.
  • Highly organized and self-directed.
  • Ability to be open, direct, purposeful, and energetic.
  • Strong teamwork and multitasking abilities.
