About the position

The Accounts Receivable & Payroll Specialist plays a crucial role in supporting the financial operations of a fast-paced catering company in New York City. This position is responsible for maintaining client relationships, processing payroll, and providing general accounting support, ensuring smooth operations and accurate financial management.

Responsibilities

  • Maintain strong client relationships by preparing contracts, handling inquiries, and resolving concerns.
  • Create and send accurate invoices to clients, ensuring timely payments.
  • Track payments, process refunds/adjustments, and follow up on overdue accounts.
  • Reconcile merchant accounts, investigating and resolving any discrepancies.
  • Complete vendor setup forms and manage client portals.
  • Assist with onboarding new employees by preparing offer packages and facilitating employment paperwork and payroll setup.
  • Process payroll, including collecting timesheets, calculating wages, and addressing employee payroll queries.
  • Update employee records and administer changes to benefits.
  • Manage employee benefits and monitor eligibility.
  • Handle employment verifications and complete unemployment forms.
  • Provide general accounting services and assist with financial tasks to support the finance team as needed.

Requirements

  • Strong attention to detail and ability to manage multiple tasks.
  • Proficiency in accounting/payroll software.
  • Excellent communication and client management skills.
  • Experience in accounts receivable, payroll processing, or general accounting is a plus.
