About the position

As an Accounts Receivable Assistant at CreativeMC, you will play a vital role in our finance team, contributing to the management of our accounts receivable processes. Your primary responsibilities will include monitoring and analyzing accounts receivable statements on a bi-weekly basis, ensuring timely receipt of payments from clients, and maintaining accurate records of customer payment histories. You will be expected to collaborate closely with the sales team to update client contact information and conduct online research as necessary. This position requires a detail-oriented individual who can manage multiple tasks effectively while maintaining a high level of organization and communication. In this role, you will verify information and maintain various accounts receivable reports, including monthly sales, open invoices, and aging reports. You will also process credit card payments and credits using QuickBooks, making recommendations regarding customer payment terms and adjusting client balances when applicable. Your proactive approach will be essential in reaching out to clients with overdue payments, particularly those past 90 days, to establish payment plans and maintain contact until resolution. You will report directly to the Accounting Manager and Finance Director regarding non-responsive clients overdue by 120 days, working collaboratively to determine next steps for collections. Responsibilities

  • Verifies information and maintains accounts receivable reports such as monthly sales, open invoices, and aging reports.
  • Processes and applies credit card payments and credits in QuickBooks.
  • Maintains customer payment histories; makes recommendations regarding customer payment terms; adjusts client balance when applicable.
  • Collaborates with sales team to locate missing or changed contact information and/or conducts online research via client's website and/or social media.
  • Oversees accounts receivables: monitors aging; reaches out to coordinate with clients who are past 90 days to receive payment or establish a payment plan; maintains contact until fruition.
  • Reports to Accounting Manager and Finance Director for non-responsive clients overdue by 120 days.
  • Works with the Accounting Manager and VP of Finance to review the aging report to determine next steps for collections.
  • Keeps up to date on overall activities of the team; identifies problem areas and takes corrective actions.
  • Processes E-Store monthly invoices into accounting system; maintains active communications with the Fulfillment Center Manager and Director of Brand Services.
  • Assists Finance Director and Accounting Manager as necessary and completes special projects as assigned.

Requirements

  • AA or Bachelor's degree in accounting, preferred, or equivalent experience.
  • A minimum of 1 year of operational accounting experience.
  • Intermediate knowledge of QuickBooks.
  • Proficient with MS Excel and Google spreadsheets.
  • Relationship builder with excellent communication skills; responds to A/R questions.
  • Demonstrated ability to problem solve.
  • Excellent organizational skills; detail-oriented.
  • Able to manage and coordinate multiple tasks and projects accurately.
  • Dependable and responsible with confidential information.
  • A team player who is eager to help the team succeed.

Nice-to-haves
