About the position

The Accounts Receivable Associate at Rusnak Auto Group plays a crucial role in the Business Office Department, ensuring the accurate management of financial transactions and customer accounts. This position is integral to the success of the department, as it involves reconciling and depositing all monies received by the dealerships, maintaining accounts receivable records, and taking appropriate collection actions on accounts. The associate will be responsible for daily collection, reconciliation, and deposit of Parts and Service receipts, including credit card transactions, as well as vehicle sales receipts. This includes preparing and reconciling daily deposits, verifying general ledger balances, and maintaining accurate records of daily activities in accordance with company guidelines. In addition to managing deposits, the Accounts Receivable Associate will create new customer records, verify credit terms, and maintain accurate customer records by attaching all open invoices with proper supporting documentation. The role also involves generating and reconciling monthly statements and promptly addressing customer inquiries. The associate will be expected to contact customers regarding overdue accounts, research returns and chargebacks, and process all returned checks and disputed credit card transactions. This position requires a detail-oriented individual who can effectively manage processes and follow up on collections, ensuring that all accounting irregularities are communicated to management in a timely manner. Responsibilities

  • Collect, reconcile, and deposit Parts and Service receipts, including credit card transactions on a daily basis.
  • Collect and log vehicle sales receipts, reporting discrepancies to management immediately.
  • Prepare and reconcile daily deposits, verifying general ledger balances including cash clearing accounts.
  • Finalize cash receipts and update customer accounts daily, filing cash records and summary reports appropriately.
  • Maintain accurate records of daily activity in accordance with company guidelines.
  • Prepare customer refunds for overpayments or refunds.
  • Create new customer records and verify credit terms conform to company guidelines.
  • Perform weekly schedule reviews and document any accounting irregularities for management.
  • Generate and reconcile monthly statements, maintaining accurate customer records with supporting documentation.
  • Promptly answer all customer inquiries professionally.
  • Process all inter-company receivable transactions as directed by the business manager.
  • Contact customers regularly regarding overdue accounts and maintain a log of customer contact for manager review.
  • Research returns, chargebacks, and bad checks, generating reports as directed by management.
  • Process all returned checks and disputed credit card transactions daily, notifying appropriate personnel and tracking follow-up until resolution.
  • Submit items to collection agency weekly and recap account activity.

Requirements

  • High school diploma or equivalent; additional education in accounting or finance is a plus.
  • Proven experience in accounts receivable or a similar role, preferably in the automotive industry.
  • Strong understanding of accounting principles and practices.
  • Proficient in using accounting software and Microsoft Office Suite, particularly Excel.
  • Excellent attention to detail and accuracy in financial reporting.
  • Strong organizational and time management skills to handle multiple tasks effectively.
  • Ability to communicate clearly and professionally with customers and team members.
