About the position

Applied Research Associates, Inc. (ARA) is seeking a passionate and driven Accounts Receivable/Billing Administrator to join our Corporate Accounting department. This role is crucial in ensuring the accuracy and efficiency of our billing processes, which directly supports our mission to solve problems of global importance. In this position, you will be responsible for ensuring that customer payment terms are correct and monitoring the aging of invoices. This includes making collection calls as necessary and working closely with the billing team, internal stakeholders, and customers to facilitate collections. You will prepare monthly accounts receivable reports, maintain files, and update and track the status of collections and comments. Additionally, you will generate billing for various contract types, including Fixed Price, Time & Materials, and Cost Plus Fee contracts, and reconcile billing to monthly project summaries to ensure accuracy and completeness. Collaboration is key in this role, as you will coordinate billing reviews and approvals with program managers and billing supervisors, pull support data for billing, and submit customer billing through customer portals for your projects and those of your team. It is essential to ensure that all processes adhere to company procedures and deadlines, delivering accurate and timely results. You may also be called upon to collaborate with the billing team on group projects and perform additional duties or special projects as needed.

Responsibilities

  • Ensures customer payment terms are correct and monitors aging of invoices; making collection calls as necessary
  • Works closely with the billing team, internal stakeholders and customers on collections
  • Prepare monthly A/R report
  • Maintains files, update and track collections status and comments
  • Generates billing for Fixed Price, Time & Materials and Cost Plus Fee contracts
  • Reconciles billing to monthly project summaries to ensure billing accuracy and completeness
  • Coordinate billing review and approval with program manager and billing supervisor
  • Pulls support data for billing
  • Submits customer billing through customer portals for your own projects and others on the team
  • Ensures processes adhere to company procedures and deadlines with accurate and timely results
  • Collaborates with the billing team on group projects as needed
  • Performs additional duties or special projects as needed

Requirements

  • Four to five years of accounting experience or at least two years of accounting/business administration college credit hours
  • High School Diploma
  • Proficiency in Excel
  • Strong oral and written communication skills necessary to interact diplomatically and tactfully with all levels of internal and external customers with the highest level of professionalism
  • Demonstrated attention to detail
  • Professional, reliable, willing to learn and take initiative
  • Ability to handle multiple tasks and meet deadlines

Nice-to-haves

  • Bachelor's degree in accounting or a related field
  • Prior work experience in a government contracting environment, billing cost reimbursable contracts, time and materials and fixed price
  • Deltek Costpoint billing experience
  • Experience with State Department of Transportation, Federal Highways, and Department of Defense contracts
  • Experience using Wide Area Workflow for government billing
  • Prior experience working collections and communicating with customers
