About the position

The Accounts Receivable Clerk / Office Operations Assistant is responsible for managing all aspects of accounts receivable while providing clerical and administrative support within the office. This role is essential for ensuring accurate invoicing, payment processing, and customer communication, contributing to the overall efficiency of the office operations.

Responsibilities

  • Perform all Accounts Receivable duties including invoicing, payment processing, and bank deposits.
  • Manage and respond to customer complaints and inquiries regarding invoices and accounts.
  • Sort and distribute mail and handle general correspondence.
  • Assist in planning and organizing company events and parties.
  • Help coordinate continuing education scheduling for plumbers.
  • Process invoices, type, and proof proposals.
  • Provide administrative support to other departments as needed.
  • Manage office supplies: ordering, stocking, and organizing the supply closet.
  • Answer and direct calls through a 6-line ESI phone system.

Requirements

  • Accounts Receivable experience.
  • Clerical/administrative experience.
  • Proficiency in Microsoft Office, particularly Word.
  • Familiarity with QuickBooks is a plus.
  • Strong organizational skills with attention to detail.
  • Excellent communication skills and ability to multitask.
  • Ability to work independently and collaboratively in a team.

  • Familiarity with QuickBooks is a plus.
