About the position

The Accounts Receivable Clerk is responsible for managing the invoicing process, payment processing, and collections support for the company. This role involves maintaining accurate records of accounts receivable transactions, ensuring timely communication with clients regarding outstanding balances, and assisting in the preparation of financial reports. The position requires strong attention to detail and proficiency in accounting software, with a focus on providing excellent customer service.

Responsibilities

  • Generate and distribute accurate and timely invoices to clients based on provided documentation.
  • Verify invoice details to ensure accuracy and completeness.
  • Record and post payments received from clients using accounting software.
  • Reconcile payments with outstanding invoices and resolve discrepancies.
  • Assist in monitoring and following up on overdue accounts.
  • Communicate with clients regarding outstanding balances and payment inquiries.
  • Maintain organized and up-to-date records of all accounts receivable transactions.
  • File and archive financial documents in accordance with company policies.
  • Enter financial transactions into the accounting system with a high level of accuracy.
  • Update and maintain customer information in the database.
  • Assist in preparing regular reports on accounts receivable status and aging.
  • Respond to client inquiries and concerns related to billing and receivables.
  • Collaborate with the customer service team to address and resolve client issues.

Requirements

  • High school diploma or equivalent; additional education in accounting or finance is a plus.
  • Proven experience in a clerical or administrative role, preferably in accounts receivable.
  • Familiarity with basic accounting principles and practices.
  • Proficient in the use of accounting software and Microsoft Office, particularly Excel.
  • Strong attention to detail and organizational skills.
