About the position

The Accounts Receivable Clerk is responsible for managing the financial operations related to incoming payments and customer accounts. This role involves processing payments, generating invoices, and ensuring accurate record-keeping to maintain the company's financial health. The clerk will collaborate with various departments and communicate with customers to resolve any discrepancies, ensuring timely collections and compliance with financial regulations.

Responsibilities

  • Prepare, verify, and send invoices to customers in a timely and accurate manner.
  • Record and process incoming payments, including checks, credit cards, ACH, and wire transfers.
  • Reconcile accounts receivable ledger to ensure all payments are accounted for and posted correctly.
  • Monitor outstanding balances and follow up with customers regarding overdue payments to ensure timely collection.
  • Respond to customer inquiries regarding billing, discrepancies, and payment terms. Resolve issues as needed.
  • Prepare and maintain detailed financial reports on the status of receivables, including aging reports and cash flow projections.
  • Maintain accurate records of transactions, ensuring proper documentation for audits.
  • Work closely with the sales and customer service teams to resolve any discrepancies or issues with customer accounts.
  • Ensure compliance with company policies and applicable regulations concerning financial transactions.

Requirements

  • Proficiency in Accounts Payable (AP) and Accounts Receivable (AR).
  • Competence in using Excel for financial calculations.
  • Demonstrated understanding of basic accounting principles.
  • Ability to maintain accurate financial records.
  • Excellent attention to detail and organizational skills.
  • Strong data entry skills.
  • Ability to work independently and as part of a team.
  • Strong communication skills, both written and verbal.
  • Proven ability to meet deadlines and work under pressure.
  • Experience with financial software and databases is a plus.
  • Confidentiality and integrity in handling sensitive financial information.
  • Minimum high school diploma; further education in finance or related field is a plus.
  • Prior experience in a similar role is preferred.
