About the position

The Accounts Receivable Coordinator at Advanced Engineering and Environmental Services (AE2S) plays a crucial role in the Accounting Team, focusing on all activities related to accounts receivable. This position involves managing accounts receivable, performing account reconciliations, researching payment discrepancies, and assisting Project Managers in managing client balances. The Coordinator will be responsible for ensuring accurate and timely billing processes, which includes preparing and finalizing invoices, processing incoming payments, and maintaining client contact information for statements and invoices. In addition to daily financial transactions, the Coordinator will set up, maintain, monitor, and close-out projects, ensuring compliance with financial and legal policies. The role requires strong problem-solving skills to troubleshoot issues and provide audit support, as well as the ability to monitor sales tax needs on invoicing. Responsibilities

  • Perform day to day financial transactions, including verifying, classifying, computing, posting, and recording accounts receivable data
  • Set up, maintain, monitor, and close-out pursuits and projects
  • Work with Project Managers to prepare and finalize invoices to ensure an accurate and timely billing process; assist Project Managers to verify and resolve client billing discrepancies/issues
  • Prepare and send client invoices and cover letters
  • Timely process incoming payments and lien waivers in compliance with financial and legal policies and procedures and identify and resolve client payment discrepancies
  • Process statements, provide client contact reminders, and update and maintain client contacts for statements and invoices
  • Review, enter, and process office, equipment, and mileage logs for monthly expense billing
  • Identify and report software proficiencies to assist Management and Project Managers
  • Support Accounting Team with special projects, new initiatives, and improvements
  • Perform AR account reconciliation
  • Problem solve and trouble shoot issues
  • Provide Audit support
  • Monitor and ensure accuracy for sales tax needs on invoicing
  • Other duties as requested by Management and Teammates

Requirements

  • Associate degree in Accounting or related field
  • Excellent verbal and written communication skills
  • Computer literacy with strong knowledge and experience of Microsoft Office software (Excel, Word, Outlook, etc.)
  • Proven success working as a team player to accomplish shared goals
  • Ability to multi-task and effectively manage multiple initiatives simultaneously
  • Strong attention to detail and time management skills
  • All applicants must be able to complete pre-employment onboarding requirements (if selected) which may include any/all of the following: criminal/civil background check, drug screen, and motor vehicle records search, in compliance with any applicable laws and regulations

Nice-to-haves

  • 5+ years related experience specializing in accounts receivable or related field
  • Previous experience in an engineering firm
  • Knowledge of Deltek Vantagepoint software
  • Previous experience with invoicing sales tax and sales tax compliance in multi-state locations
