About the position

The Accounts Receivable/Data Entry Clerk is responsible for ensuring timely and accurate submission of client billing data. This role involves generating monthly billing statements, creating invoices, maintaining accounts receivable files, and assisting in the reconciliation of revenue accounts. The position requires strong organizational skills and attention to detail, as well as proficiency in relevant software applications.

Responsibilities

  • Assists in generating monthly billing statements based on client data spreadsheets.
  • Creates invoices according to company practices; submits billing.
  • Copies, files, and retrieves materials for accounts receivable as needed.
  • Maintains and updates accounts receivable files.
  • Relays changes of information to Accounts Receivable Manager.
  • Assists Accounts Receivable Manager in reconciling revenue accounts each month.
  • Prepares, posts, verifies, and records payments and transactions related to accounts receivable.
  • Collaborates with the Accounts Receivable Manager to reconcile accounts receivable on a periodic (at least monthly) basis.
  • Reviews and communicates Accounts Receivable Aging reports regarding the current status of accounts as requested.
  • Identifies delinquent accounts by reviewing reports.
  • Researches accounts receivable discrepancies and past-due amounts with the assistance of the Accounts Receivable Manager and Account Manager.
  • Performs other related duties as assigned.

Requirements

  • High school diploma or equivalent required; Associates or Bachelors degree in Accounting preferred.
  • Work related experience preferred.
  • Proficiency in English.
  • Data entry skills.
  • Hands-on experience in operating spreadsheets.
  • High degree of accuracy and attention to detail.
  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Office Suite, especially Microsoft Excel, Microsoft Outlook, and Microsoft Teams.
  • General knowledge and understanding of accounting software programs.
  • Ability to operate related office equipment, such as computers, 10-key calculator, and copier.
  • Ability to work independently and in a fast-paced environment.
  • Excellent organizational skills and attention to detail.

Nice-to-haves

  • Experience in accounts receivable or billing processes.
