About the position

The Accounts Receivable/Payable Clerk at Paco Communications, Inc. is responsible for maintaining the purchase ledger function and ensuring the timely payment of all invoices, receivables, and expense claims. This role involves working closely with vendors and internal teams to ensure accuracy in financial transactions and compliance with accounting policies. The position requires strong analytical skills and attention to detail, as well as effective communication with various stakeholders.

Responsibilities

  • Create and maintain vendor records in Workamajig (accounting system)
  • Process accounts payable, including entering, reviewing, and coding invoices
  • Audit financial records to ensure compliance with accounting policies
  • Act as the primary contact for vendor inquiries and liaise with other departments
  • Communicate with Project Managers to ensure vendor invoices align with project budgets
  • Ensure accuracy of employee expense reports
  • Timely entry of corporate credit card charges
  • Reconcile credit card statements
  • Select invoices for payment based on Controller's approval
  • Prepare year-end 1099 files
  • Enter new clients into Workamajig per defined client architecture
  • Setup billing per contract and schedule for clients
  • Generate advance billing and send client credit memos as needed
  • Deposit customer receipts in the bank
  • Send statements to clients or Project Managers as needed
  • Manage uncollectible debt and notify Controller of potential write-offs
  • Complete revenue recognition in Workamajig
  • Maintain revenue forecasting spreadsheet
  • Support month-end close functions and reconciliations

Requirements

  • 2-5 years of Accounting experience
  • Strong understanding of the Accounts Payable Cycle
  • Proficient in Microsoft Office Suite (Excel, Word, etc.)
  • Solid analytical and mathematical skills
  • Excellent interpersonal skills
  • Strong written and verbal communication skills
  • High attention to detail
  • Highly organized
  • Ability to work within tight timelines
  • Ability to manage multiple projects simultaneously

Nice-to-haves

  • Associate's Degree
  • Knowledge of Workamajig is a plus
