About the position

The Accounts Receivable Specialist at RealManage is responsible for managing accounts receivable processes, providing exceptional customer service, and ensuring timely and accurate financial reporting. This role involves working closely with the leadership team and attorneys to handle delinquency notices, process payments, and maintain effective relationships with clients and legal representatives. The position is integral to the company's commitment to quality service and community management.

Responsibilities

  • Provide customer service regarding Accounts Receivable issues.
  • Process customer payments and account adjustments.
  • Resolve client discrepancies and short payments.
  • Prepare Executive Session Notes for Board Meetings.
  • Accountable for all collections efforts.
  • Set up and monitor Payment Plans and EFT Auto Drafts.
  • Establish and maintain relationships with Attorneys' offices.
  • Process Attorney invoices and apply payments to client accounts.
  • Submit monthly billing spreadsheets to Supervisor.
  • Apply homeowner payments received in-office and from Attorneys' offices.
  • Scan checks to HOA Bank accounts and process daily ACH files.
  • Handle lockbox exceptions and commit daily lockbox files to Vantaca.
  • Process Fee Waiver requests and respond to AR inquiries.
  • Assist with financial reconciliation and bulk payment processing.
  • Perform general office support tasks such as scanning, faxing, and filing.

Requirements

  • 1-2 years of experience in Accounts Receivable or related field.
  • Degree in Accounting, Finance, or Economics preferred.
  • Strong computer skills, particularly in Microsoft Excel.
  • Excellent written and verbal communication skills.
  • Customer service-oriented attitude.
  • Ability to manage time effectively and prioritize tasks.

Nice-to-haves

  • Previous experience with Homeowners Associations (HOAs) preferred.
  • Real estate or title experience is a plus.
