About the position

The Accounts Receivable Specialist at Eurofins Air Toxics is responsible for managing the accounts receivable process, ensuring timely collections, and maintaining accurate financial records. This role involves direct communication with clients, processing invoices, and collaborating with various departments to support the financial operations of the company. The specialist will also participate in weekly meetings and provide backup support for accounts payable duties as needed.

Responsibilities

  • Conduct business-to-business collections with a minimum of 30 client contacts per day through email or phone calls.
  • Submit special handling invoices using third-party client portals.
  • Process manual invoices and credit memos for Eurofins Air Toxics.
  • Handle the onboarding of new clients, including completing vendor forms and providing credit reports.
  • Document and submit detailed collection notes in Excel daily.
  • Review accounts receivable aging reports and cash receipts reports daily.
  • Submit and reconcile unapplied payments and credits, bad debt expense forms, and related paperwork on a daily/weekly basis.
  • Lead weekly accounts receivable meetings, ensuring quick access to accurate client information.
  • Utilize accounting and laboratory databases daily, with training provided.
  • Respond to customer inquiries, providing copies of invoices, chain of custody documents, monthly statements, and other related paperwork.
  • Liaise between Project Managers, Office Manager, and corporate office.
  • Provide AR/sales reports from the system, place accounts on financial hold, and provide audit documentation as assigned.

Requirements

  • Minimum of 2 years' experience in accounts receivable.
  • Strong English verbal and written communication skills.
  • Strong interpersonal and customer service skills.
  • Analytical and problem-solving skills.
  • Proficient in using computerized accounting programs and the MS Office Suite (Word, Excel, etc.).
  • Effective organizational skills.
  • Ability to manage stress and time effectively, including multitasking and meeting deadlines.

Nice-to-haves

  • Experience with accounting software specific to laboratory environments.
  • Familiarity with vendor management processes.
