About the position

The Accounts Receivable Specialist is responsible for managing all aspects of accounts receivable transactions, ensuring accurate posting of daily receipts, reconciling accounts, and maintaining effective communication with customers and internal teams. This role is crucial for maintaining the financial health of the organization by ensuring timely follow-ups on outstanding invoices and accurate financial reporting.

Responsibilities

  • Post daily receipts from various sources into the company accounting system.
  • Reconcile daily cash reports with bank statements to ensure accurate posting of transactions.
  • Pull and review reports from banking institutions, including ACH detail and lockbox deposits.
  • Respond to email inquiries regarding invoices, payments, and billing questions.
  • Process credit card payments for customers and update systems accordingly.
  • Analyze accounts receivable aging reports weekly and follow up on accounts with balances over $5,000.
  • Send automated follow-up emails for overdue invoices and prepare monthly statements for certain debtor groups.
  • Generate and process weekly reports for overdue duty charges and reconcile intercompany transactions as needed.
  • Compile end-of-month payment reports and ensure invoices are reconciled with cost postings.
  • Maintain files for specific divisions receipts and update logs as necessary.

Requirements

  • Associate's degree in Accounting, Finance, or a related field preferred.
  • 1-3 years of relevant experience in accounts receivable or a similar finance role.
  • Proficiency with accounting software.
  • Strong analytical skills and attention to detail.
  • Excellent communication and organizational skills.
  • Ability to manage multiple priorities in a fast-paced environment.

Nice-to-haves

  • Experience with FDA documentation preparation.
  • Knowledge of banking reconciliation processes.
