About the position

Aperto Property Management, Inc. is a full-service, fee-based apartment management company dedicated to providing quality management, professional service, and superior operating results to our clients and residents. We are currently seeking a qualified Accounts Receivable Specialist to join our growing team. The Accounts Receivable Specialist will be responsible for managing all aspects of the property accounts receivable process. This includes monitoring Yardi rents and billing, handling HAP/Subsidy Payments, managing Move In/Move Out Prorations, and collections, while ensuring compliance with various requirements such as LIHTC, HAP, Section 8, and tenant collections. In this role, the AR Specialist will ensure that all accounts receivable transactions are accurately recorded and maintained. This includes verifying that rent charges align with current Manager Certifications, Rent Schedules, and any Section 8 notices of contract rent adjustments. The specialist will also be responsible for confirming that Move In/Move Out transactions are processed on time and that any necessary ledger adjustments are made. Additionally, the AR Specialist will monitor and take prompt action on NSF/Failed Payments, ensuring that receipts are posted within the grace period and that late fees are applied appropriately. The position requires collaboration with internal departments, such as property managers and supervisors, to resolve any billing discrepancies or issues. The AR Specialist will also prepare and analyze various reports related to accounts receivable, assist with month-end and year-end closing activities, and stay current with industry trends and regulations to ensure compliance with all applicable laws. Responsibilities

  • Monitor and post HAP and HCV subsidy payments.
  • Verify rent charges are in line with current Manager Cert, Rent Schedule and any Section 8 notices of contract rent adjustments.
  • Post Rent/Subsidy portion changes with corresponding ledger adjustments if necessary.
  • Confirm MI/MO and Deposition of Deposits are processed on time.
  • Monitor Move In/Move Out prorations and ensure Write-offs are completed accurately.
  • Ensure prompt action is taken for NSF/Failed Payments.
  • Ensure receipts are posted within the grace period and post late fees to appropriate residents.
  • After charges are posted review Gross Potential Report for accuracy and make necessary changes.
  • After month-end close review AR Aging's and Prepayments.
  • Complete security deposit true ups.
  • Manage security deposit transfers per state guidelines.
  • Verify rent rolls charges and security deposit amounts match leases.
  • Confirm clearing and suspense accounts zero out, create charges if necessary.
  • Maintain accurate and up-to-date records of all accounts receivable transactions and communications.
  • Perform random property audits to cross check deposit summaries and bank deposit slips.
  • Collaborate with internal departments, such as property managers and supervisors, to resolve any billing discrepancies or issues.
  • Work with and train managers on reading and understanding tenant ledgers.
  • Prepare and analyze various reports related to accounts receivable, such as aging reports, cash flow projections, and monthly financial statements.
  • Assist with month-end and year-end closing activities, including reconciliations, journal entries, auditing, and financial reporting.
  • Stay current with industry trends and regulations related to accounts receivable and property management and ensure compliance with all applicable laws and regulations.

Requirements

  • Bachelor's degree in accounting, Finance, or related field.
  • Minimum of 3 years of experience in accounts receivable, preferably in the property management industry.
  • Understanding of basic multifamily property management concepts.
  • Strong knowledge of accounting principles and practices, including GAAP.
  • Proficiency in using Yardi Voyager software and MS Office applications, particularly Excel.
  • Excellent analytical, problem-solving, and communication skills.
  • Ability to work independently, prioritize tasks, and meet deadlines in a fast-paced environment.
  • Ability to shift priorities in an atmosphere where interruptions are frequent.
  • Ability to meet all timelines and target dates with complete and accurate reporting.
