About the position

The Accounts Receivable Specialist plays a crucial role in managing customer invoicing, payment collection, and account reconciliation for a prime aviation client. This position is essential for minimizing financial loss and ensuring that customer transactions are executed with accuracy and timeliness. The specialist will collaborate with various teams to adhere to accounting requirements and improve processes, while also maintaining strong relationships with customers.

Responsibilities

  • Ensure that customers receive invoices and required documentation for payment in a timely manner.
  • Collaborate with cross-functional teams to adhere to accounting requirements according to established contracts and internal policies.
  • Proactively monitor assigned customer aging and coordinate with accounts payable for timely payments.
  • Escalate outstanding receivables tactfully to resolve invoicing and payment issues.
  • Process RMAs and credit memos as needed.
  • Assist in identifying process improvements within the accounts receivable function.
  • Coordinate with Accounting and AP on contras and customer refunds.
  • Assist in converting check customers to ACH payments.
  • Provide weekly detailed reporting on customer AR aging and collection efforts.
  • Obtain payment support for accurate application of payments.
  • Complete monthly reconciliations and review customer aging for doubtful accounts.
  • Maintain effective working relationships with internal and external customers.
  • Research, resolve, and respond to AR inquiries.
  • Assist in providing necessary documentation during annual audits.
  • Support the General Accounting Team as needed.
  • Perform other tasks assigned by the Financial Operations Manager and Controller.

  • 4+ years of relevant experience in a similar role.
  • High degree of attention to quality.
  • Ability to prioritize and work in a fast-paced, high-volume environment.
  • Strong problem-solving and decision-making skills.
  • Effective teamwork and collaboration skills.
  • Proactive attitude with strong time management and organizational skills.
  • Ability to understand the big picture.
  • Strong analytical capabilities, including familiarity with Excel report creation and maintenance.

  • Ability to work cohesively within a multi-disciplinary team.
  • Possesses strong business acumen.
  • Flexibility to work non-standard hours to meet critical deadlines.
  • Strong written and verbal communication skills.

Nice-to-haves

  • Associate or bachelor's degree in accounting.
  • 3 years of relevant experience in accounting.
  • Experience with automation tools.
