About the position

The Accounts Receivable Supervisor at the Virginia Department of Transportation (VDOT) is responsible for overseeing the accurate and timely collection of all accounts receivable. This role involves supervising staff, ensuring compliance with accounting principles, and maintaining effective communication with various stakeholders. The position is crucial for ensuring that VDOT's financial operations align with established policies and procedures, while also providing leadership and support to the team.

Responsibilities

  • Supervise staff in proper accounting of Accounts Receivable activities.
  • Ensure accurate invoicing and cash application by staff.
  • Review aging accounts receivable reports and follow up with customers.
  • Provide guidance and support to staff on issues or concerns.
  • Work with third-party collection agencies to maximize collections.
  • Lead team efforts to find solutions to problems and improve processes.
  • Ensure AR balances are accurately reflected in the financial system.
  • Complete periodic reconciliations and submit reclassification journals timely.
  • Serve as liaison to district and division offices for policies and procedures.
  • Develop and maintain VDOT's General Ledger system.
  • Plan and coordinate special projects as needed.
  • Provide updates and training in administrative policies and procedures.
  • Interpret laws, policies, and regulations for administrative areas.
  • Provide technical assistance and training to staff on accounts receivable processes.
  • Respond to management and audit requests for information in a timely manner.
  • Ensure proper documentation and record retention standards are implemented across the team.

Requirements

  • Ability to manage multiple priorities and meet due dates.
  • Effective oral and written communication skills.
  • Experience in training, supervising, and directing accounting staff.
  • Proficient in Microsoft Office and other software applications.
  • Knowledge of internal controls and risk assessments in financial operations.
  • Understanding of Generally Accepted Accounting Principles (GAAP) and governmental accounting practices.
  • Familiarity with accounts receivable management and billing procedures.
  • Knowledge of VDOT's financial accounting system or other ERP systems.

Nice-to-haves

  • Progressively responsible experience in Accounts Receivable.
  • CPA or CGFM certification is desired.
  • Experience with state and federal policies and procedures is preferred.
  • Education or training in Accounting, Finance, Business Administration, or related fields.
