About the position

This position is responsible for managing Accounts Receivables and providing administrative support to Project Managers. The ideal candidate will be detail-oriented, possess strong communication and organizational skills, and be able to handle multiple assignments effectively. Punctuality and dependability are crucial for success in this role.

Responsibilities

  • Handle Accounts Receivables, including job costing and chart of accounts.
  • Create customer invoices, purchase orders, and record deposits using Quickbooks.
  • Maintain accurate records of customer interactions, payment agreements, and contracts.
  • Log, track, and follow up with start packages and change orders from inception to completion.
  • Research and communicate with vendors for material pricing for estimates.
  • Coordinate material sourcing and ordering, issuing purchase orders as needed.
  • Assemble and track submittal packages and delivery of materials.
  • Log, organize, file, and maintain all current project documents.
  • Assist with new project setup including leads, estimates, and notices.
  • Screen and route incoming mail and phone calls professionally.
  • Provide administrative support including filing, copying, and scanning.
  • Monitor and check work for accuracy and organize time and resources efficiently.

Requirements

  • High school diploma or GED required.
  • Current and valid driver's license.
  • Advanced computer skills, specifically in Microsoft Excel, Word, and Outlook.
  • Excellent knowledge of accounting practices and Quickbooks software (desktop version).
  • Strong communication and follow-up skills, with competent email correspondence.
  • Excellent organizational skills and attention to detail; ability to multi-task and prioritize effectively.
  • Proactive communication with internal and external business partners.
  • Demonstrates professionalism in dealing with confidential issues.
  • Self-starter with minimal supervision needed.
  • Fluent in English with effective writing skills.
